AGREED MANAGEMENT SERVICES – Schedule 2
LEVYING
1. Prepare and issue contribution notices to each proprietor or proprietor’s agent for periodic contributions;
2. Record money received for and on behalf of Strata Company and deposit to the Strata Company’s account;
BUDGETS
3. Assist with preparation of administrative fund budgets;
4. Assist with preparation of Reserve/Sinking fund budgets.
PAYMENT OF MONIES
5. Establish and maintain a separate bank account in the name of the Strata Company;
6. Pay disbursements and expenses incurred in connection with the strata manager’s management;
7. Receive creditors invoices for Strata Company;
8. Pay creditor’s invoices on behalf of the Strata Company;
9. Maintain payments record.
FINANCIAL REPORTS
10. Maintain financial reports
11. Provide statutory reconciled accounts including balance sheet, statement of income and expenditure and contribution status report.
INSURANCE
12. Arrange insurance valuations as required;
13. Prepare and lodge routine Strata Company insurance claims, up to 15 mins per claim
14. Obtain quotes for insurance renewal
15. Submit quotes to Council and renew insurances as instructed.
COMMUNICATION
16. Prepare routine correspondence specifically related to the administration of Strata Company;
17. Refer to the Council as instructed, all correspondence, enquiries, complaints and requests for information from proprietors, councillors, occupiers and others who may have dealings with Strata Company.
MAINTAIN RECORDS OF STRATA COMPANY
18. Record and retain notices required under the Strata Titles Act;
19. Provide copies of documents required under section 43(i)b of the Act*;
20. Prepare and issue section 43(c) of the Act certificates*;
21. Provide information as requested under section 69 of the Act*;
22. Maintain strata roll as required by section 35A of the Act;
23. Maintain AGM minute book;
24. Maintain correspondence file.
TELEPHONE COMMUNICATION
25. Telephone attendance for councillors;
26. Telephone attendance for proprietors;
27. Telephone attendance for contractors carrying out Strata Company business.
COMMON SEAL
28. Maintain safe custody of the common seal;
29. Supervise and record use of common seal.
ANNUAL GENERAL MEETINGS
30. Prepare and distribute notices of Annual General Meetings;
31. Prepare and distribute minutes of Annual General Meetings;
32. Arrange venue for meetings (cost of venue to be borne by Strata Company).
EXTRAORDINARY GENERAL MEETINGS
34. Prepare and distribute notices of Extraordinary General Meetings;
35. Prepare and distribute minutes of Extraordinary General Meetings;
36. Arrange venue for meeting (cost of venue to be borne by Strata Company).
COMMON PROPERTY REPAIRS AND MAINTENANCE
38. Arrange routine day-to-day maintenance, repair and replacement of common property;
39. Obtain quotations for non routine maintenance, repair and replacement of common property
40. Provision for after-hours emergency contact telephone service.
BY-LAWS
41. Advise Strata Company Council regarding all standard by-laws;
ADDITIONAL SERVICES – Schedule 3
LEVYING
1. Monitor and arrange for recovery of contribution arrears
2. Instructions given for debt collections;
BUDGETS
3. Engage consultants (at Strata Company cost) to assist in preparation for sinking fund budget.
TAXATION
4. Arrange for the preparation of income tax returns;
5. Make an application for tax file number and ABN;
6. Make an application for GST registration.
STRATA COMPANY AUDITS
7. Assist auditor in providing accounts and records for audit;
8. Adjust year-end accounts as requested by auditor.
INVESTMENT OF RESERVE FUNDS
9. Invest excess funds at directions of Strata Company.
INSURANCE
10. Prepare and lodge Strata Company insurance claims, over 15 mins per claim (15min or under included in Regular Services) ;
11. Prepare and lodge lot proprietors’ insurance claims (15 mins per claim) ;
12. Prepare and lodge non-routine insurance claims
13. Administer claims and other activities involved in minimisation of loss, liaison with loss adjustors and other related activities after first 15 mins per claim.
14. Insurance company or broker with which strata manager has a commission arrangement: CHU Underwriting Agencies
MAILING AND CORRESPONDENCE
15. Copy and mail to proprietors newsletter etc prepared by Strata Company;
16. Prepare non-routine correspondence and post;
17. Prepare documentation for solicitors, advisors or others in relation to proceedings or matters to which Strata Company is a party;
18. Provide proprietors address labels.
MAINTAIN RECORDS OF STRATA COMPANY
19. Provide facilities for inspections of records under section 43(i)(b) of the Act;
TELEPHONE COMMUNICATION
20. Telephone attendance for consultants/legal advisors;
21. Telephone attendance for tenants/occupiers/letting and selling agents.
22. Manage a greater volume of inquiries from proprietors than is reasonable
ANNUAL GENERAL MEETINGS
23. Attendance at Annual General meetings.
EXTRAORDINARY GENERAL MEETINGS
24. Attend Extraordinary General Meetings.
OTHER
31. Attend property at request of Strata Company
32. Attend conferences with solicitors, advisors or others in relation to proceedings to which the strata company is or may become a party;
COMMON PROPERTY MAINTENANCE
33. Arrange non-routine day to day maintenance, repair and replacement of common property e.g. major works, upgrades etc;
34. Liaise with consultants/builders regarding non-routine work to be carried out on the Property;
35. Attend property at request of Strata Company;
36. Attending property for after hours emergencies;
37. Attend to contract completion and signing up of sub-contractors to the Strata Company.
BY-LAWS
38. Liaise with solicitors and place instructions in accordance with resolutions for Strata Company regarding amendments to the by-laws;
39. Arrange drafting of By-laws, amendments to By-laws and By-law reviews.
40. Arrange for registration of by-laws;
41. Attend the Property for by-law enforcement;
42. Prepare and issue notices for breach of by-laws;
43. Prepare and lodge applications for tribunal orders, briefing lawyers and/or relevant attendances
44. Attend court, tribunal or mediation.
45. Provide copies of by-laws to councillors, proprietors, tenants and letting agents.
